To enable SCT to fundraise in the UK and effectively support projects in Kenya, it was determined during the first year of operation, that SCT would request written proposals for funding from Kenyan charities. The Trustees determined that this proposal process would enable the Trustees to have tighter control over charitable funds pledged to projects in Kenya through detailed regular reporting from the specific project partners on each project undertaken.
Upon receipt of proposals the Trustees assess their merits and whether they fit with the mission and aims of SCT.
To date the proposals accepted by SCT have all been projects that have been proposed by the Camp Kenya Trust (“CKT”) (a registered Kenyan charity). The Trustees carried out appropriate diligence on the CKT before accepting the written approvals for project funding.
The Trustees and management monitor the progress of the projects on a monthly basis by reviewing the monthly project spend and by reviewing a monthly progress report detailing the advancement of the project during that month. The monthly reports include pictures and diagrams to enable SCT to assess the development of the project to budget remotely from the UK.
The Trustees visit all the projects sites, and the corresponding sponsoring Kenyan charities, a minimum of once a year to discuss the progress of the project and to physically view the progress of the projects. These site visits enable the Trustees to ensure that the funding which has been provided to the project has been spent as set out in the original proposal and budget.
During the Trustees visit to the project sites they endeavour to meet with the stakeholders in each of the projects i.e. teachers, parents, to ensure that they are happy with the progress and that the project is meeting their needs.
The Trustees organise the site visits to Kenya to coincide with the review of any new written proposals that are submitted with SCT.
